Tax Legal Assistant

Salary: Up to $72K
Key Responsibilities
- Prepare and process correspondence, memoranda and legal documents;
- Compose and draft routine cover letters and documents;
- Proofread documents and check for appropriate formatting, spelling and grammar;
- Review and route incoming mail and fax communications;
- Prepare and process outgoing mail and faxes;
- Update contact names and addresses in the firm’s database on a regular basis;
- Manage files, including opening new files and maintaining precedent files;
- Maintain and store client files as appropriate;
- Provide assistance in billing matters;
- Prepare pre-bills in a timely manner and follow up when necessary;
- Prepare invoices and forward them to lawyer for review;
- Edit docket narratives where required;
- Process and track changes from lawyer;
- Monitor and review outstanding WIP;
- Track outstanding invoices;
- Coordinate with the Accounting department to ensure accounts are compliant with the client billing guidelines;
- Respond to any queries regarding the billing process;
- And perform other related tasks and duties.
Qualifications
- A community college certificate in a Legal Assistant program or equivalent;
- A minimum of 3-5 years’ of experience in a Legal Assistant and Billing Specialist role;
- Knowledge of Aderant or similar accounting software would be an asset;
- Ability to work well independently and as a team;
- Excellent technical knowledge of Microsoft applications (Word, Excel, PowerPoint and Adobe Acrobat);
- Strong judgement and decision-making skills;
- Excellent client service skills;
- High accuracy and detail oriented;
- Excellent communication skills;
- And excellent administrative and organizational skills.
