As a Records Administrator you would provide support to the company’s Corporate and Private Equity group, such as scanning and uploading files, managing the electronic filing process, and handling storage activities. Key Responsibilities
- Manage end-to-end electronic filing process, for paper to electronic document management
- Electronic records management; ensure standard naming convention of files, completeness of meta data or associated fields or tags
- Receive electronic files from email, uploading them to the proper DMS or other electronic location, ensuring standard naming conventions and other data
- Scan paper files and upload to DMS ensuring standard naming conventions and other data
- Reporting out DMS system
- Scan and make back-up copies of documents
- Manage offsite storage activities as required including processing of boxes ensuring proper and consistent categorization and labeling of files; assist with retrievals as required
- Become subject matter expert in SharePoint and related DMS systems
Qualifications
- 1-3 years’ experience with managing files for organizations (such as hospitals or offices) or in an assistant role
- Proficiency in managing multiple databases and electronic document management systems (DMS)
- Intermediate to advance level skills in Microsoft Office, SharePoint and Adobe Acrobat Pro
- Keen observation skills to understand the contents of legal, financial, etc. documents
- Demonstrates assertiveness, where appropriate, through respectful and clear communication tactics
- Excellent time management and organization skills
- Able to deal with change and to proactively form productive working relationships
- Excellent communication and strong customer relation skills
- Works well independently with minimal supervision, as well as a team environment
