Litigation and Aboriginal Law Legal Assistant
Our esteemed Client, a fast-paced Toronto law firm, is seeking a Legal Assistant to support their team in Litigation and Aboriginal law matters. The candidate must have a minimum of three years working experience in the area of civil litigation and/or administrative law. Salary: $68K + + Bonus, Pension, and Other Perks
Hybrid Remote: 2 Days in Office
Key Responsibilities
- Performs all clerical, administrative and general office duties for the assigned lawyers;
- Communicates with lawyers, clients, courts, boards, etc., to schedule appointments, arbitrations or appearances, and coordinates arrangements for meetings/conferences, etc.;
- Receives all incoming mail and redirects, prioritizes and records deadlines;
- Manages correspondence
- Creates, types, formats, reviews and proofreads documents and correspondence to ensure compliance with legal procedures and grammatical usage;
- Prepares, formats and manages electronic filing of court documents for matters appearing before all levels of the court, including in other provinces;
- Prepares forms according to general instructions and/or precedents and arrange for proper service;
- Assists in document management, including electronic document management, and liaising with other staff and co-counsel;
- Arranges for timely payment of invoices, completes expense reports, prepares file status reports, work-in-progress reports and pre-bills;
- Performs transcription functions as necessary and requested;
- Sets up and maintains filing systems and frequently controls confidential materials and documents;
- Enters dockets daily, prepares time summaries and other reports as required;
- Follows proper file opening and closure procedures
- Makes travel arrangements, including booking flights, hotels, vehicle rental, etc.;
- Other general duties as required.
Qualifications
- 3 -5 years of legal administration experience in civil litigation and/or labour or administrative law;
- Ability to read documents in French, for the purposes of general identification and comprehension of content, would be an asset;
- Strong understanding of the Rules of Civil Procedure and Filing procedures and time limitations
- Has working knowledge of Federal and Provincial laws and various levels of Provincial Court practices.
- Has the ability to develop an understanding of applicable rules of civil procedure in other jurisdictions, including Quebec
- Strong attention to detail and excellent proofreading skills;
- Highly organized with an ability to prioritize
- Ability to work independently with minimum instructions;
- Effectively work in a team environment or independently, as the situation requires;
- Effective communication skills (written and verbal);
- Experience with Word, Excel, PowerPoint and AdobePro;
- Knowledge of Toolkit, SharePoint/OneDrive, Zoom and Google Earth would be an asset
- Working knowledge of document management systems (NetDocuments, OneDrive), and time management systems (Tikit/Soluno) would be an asset;
- Working knowledge of legal office administration through the completion of an office procedures course or related experience;
- Strong problem-solving skills;
- Ability to work overtime if requested and/or when necessary.
