IP Litigation Legal Assistant

Salary: Up to $70K
Key Responsibilities
- Provide support to a lawyer with their day-to-day responsibilities and any ad-hoc tasks or projects
- Manage communications and correspondence (email, phone, mail, voicemail), responding when needed; bringing action items forward in a timely matter
- Prepare and submit expenses, calendar management, coordinate meetings and book travel arrangements
- Accurately proofread, format and assist with various legal and general materials, including documents, reports, memos, briefings, presentations, forms and other items, ensuring accuracy and completeness; checking for appropriate formatting, spelling, grammar, etc.
- Schedule and organize activities such as events, client meetings, conference calls, and travel itineraries
- Maintain the lawyer’s contact lists
- Enter dockets and prepare accounts, including coordination of billings
- Maintain an in-depth knowledge of legal terminology, rules and procedures
- Answer and direct phone calls
- Organize client files and maintain an up-to-date file system
- Maintain a positive rapport with clients
- Collaborate and maintain open communication with the other Legal Assistants and Legal Professionals, offer back-up support when needed
Qualifications
- 5+ years of experience in a legal executive assistant capacity. Experience supporting a busy Senior IP Lawyer is preferred.
- University degree or college diploma in a related field
- Knowledge of the Federal Courts Rules, court practice and procedures at various levels an asset
- Immaculate proofreading and grammar skills
- Strong attention to detail and superior organizational skills
- Excellent knowledge of Microsoft Office applications
- Ability to juggle multiple priorities and work well under pressure
- Ability to handle confidential and non-routine information, with discretion and professionalism
- A strong team player and demonstrates positive work ethic
- Strong ability to create relationships with all members of the team and to build rapport quickly
- Knowledge of general legal practices, terminology, documents and best practice
