Salary: Up to $80K
Key Responsibilities
- Co-ordinate North American team travel – domestic and international, inclusive of arranging team member calendars’ for travel details
- Management of team members’ expense report process, including working closely with the Accounting team in preparation of expense reports in Concur
- Provide timely, professional administrative assistance to employees and executives to enhance the team’s productivity
- Setup and coordinate meetings and conference calls
- Manage meeting room calendars, monitoring for conflicts
- Support staff in assigned project-based work
- Reception tasks during client meetings – directing clients and visitors, offering refreshments
- Maintain the reception area and client meeting rooms
- Provide full facilities management, working closely with building managers
- Manage suppliers / vendors and negotiating contracts to attain best value and services
- Liaise with IT team to ensure the office functions effectively and securely
- Create, edit, and troubleshoot documents using Microsoft Office
- Maintain office supply area and keeping track of inventory
- Maintain the staff kitchen with supplies and keeping orderly throughout the day
- Other ad-hoc tasks on an as-needed basis
Qualifications
- 3+ years experience as a legal assistant or executive assistant in a professional services firm
- Prior experience with management of travel bookings
- Acute attention to accuracy and detail
- Effective communication skills and strong problem-solving skills
- Ability to prioritize activities while working on multiple projects and achieve target deadlines
- Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint
