File Intake Coordinator (REMOTE)

- Conduct and follow up on client intake including conducting initial client calls and scheduling meetings thereafter
- Manage emails, correspondence, calendar entries, client meetings, court dates
- Manage and improve the firms CRM and sales process
- Liaise with clients and address client concerns with exceptional client service
- Prepare and send straightforward correspondence
- Manage the collection, organization, and review of client documents and information necessary for the preparation of the clients case
- Assume key role in managing the receipt of client information to ensure documents and information are received in a timely manner and saved in accordance with our internal document management protocols
- Tracking the firms sales and client retention data
Qualifications
- Minimum 2 years experience in an administrative, professional office and/or sales office setting
- Exceptional customer service skills
- Completion of a Legal program.
- Able to work collaboratively in a small team, as well as independently
- Proficient in Microsoft Office (Outlook, Word, Excel), and willing to learn our billing and timekeeping software
- Legal support background and / or membership in good standing with the Law Clerks Association in Ontario (this is a nice to have but not required for the role)
