Salary: Up to $85K
Key Responsibilities
- Provide proactive administrative support to multiple Partners and Associates, including scanning, binding, file creation, and document formatting
- Manage tasks related to commercial and residential real estate transactions such as title searches, corporate searches, and the preparation of detailed report books
- Draft, revise, and proofread legal documents, correspondence, charts, and internal communications with a strong focus on accuracy and attention to detail
- Maintain a high level of professionalism when interacting with clients, lawyers, and other internal team members
- Generate accounts, prepare invoices, and assist with basic billing functions
- Schedule meetings, coordinate appointments, and handle all logistics including couriers and document delivery for time-sensitive matters
- Organize and maintain physical and electronic filing systems for the real estate department
- Perform routine file audits and maintenance, including closing and archiving files and managing off-site storage for inactive materials
Qualifications:
- Legal Assistant Diploma from a recognized and accredited institution
- Minimum 3 years of experience supporting commercial real estate lawyers in a busy law firm environment
- Proficient in real estate software such as Teraview, Conveyancer/Unity, and Lawyer Done Deal—confident in performing searches, preparing and registering instruments, and managing transaction flow
- Exceptional communication and client service skills; able to liaise professionally with clients, lawyers, and third parties
- Known for accuracy, attention to detail, and the ability to meet tight deadlines without sacrificing quality
- Excellent multitasking and time management abilities with a calm, solution-focused approach during urgent or high-volume periods
- Strong writing, editing, transcription, and proofreading skills
- Comfortable maintaining organized physical and electronic filing systems, calendars, and databases
- Technically savvy with Microsoft Office (Word, Outlook, Excel, PowerPoint) and open to learning new tools
- Exposure to Elite and a document management system (e.g., iManage or NetDocuments) is considered a strong asset
- A true team player with excellent interpersonal skills and a professional, collaborative work ethic
