Key Responsibilities
- Report directly to the Managing Partner and Senior Partner on all financial matters, including accounting, cash flow, budgeting, and financial planning.
- Manage the firm’s accounting operations using PCLaw, including the preparation of weekly, monthly, and annual financial reports.
- Oversee Accounts Payable and Accounts Receivable functions, ensuring timely and accurate processing.
- Reconcile Trust Accounts and General Accounts to comply with Law Society of Ontario (LSO) regulations, including documentation for all trust-related transactions.
- Prepare and submit the LSO Annual Report for all lawyers and handle LawPro Professional Liability Insurance matters.
- Manage disbursements, billings, and the calculation of transaction levies.
- Conduct monthly and annual reconciliations, including adjusting entries and accurate maintenance of financial records.
- Train staff on the use of PCLaw to ensure operational efficiency and compliance.
- Prepare daily cash flow reports, allocate expenses to appropriate accounts, and review bank accounts online daily.
- Oversee payroll operations, including setting up new hires in ADP, payroll reconciliation, and the preparation of T4s and year-end filings such as EHT.
- Administer the firm’s benefits program, calculate bonuses and compensation for lawyers, and maintain the Equitrac system.
- Maintain the fixed assets register and determine capital asset classification for purchases.
- Manage HST filings and payments for the partnership and associated management companies.
- Liaise with the firm’s bank and CPA on financial matters.
- Prepare monthly invoices for management companies and post bank deposits.
- Open new files in PCLaw and handle other day-to-day accounting duties as required.
Qualifications
- 5+ years of accounting experience, preferably within a law firm environment.
- Strong proficiency with PCLaw and experience with ADP payroll systems.
- Comprehensive knowledge of LSO rules for trust and general account management.
- Expertise in financial reporting, reconciliations, and compliance, including the preparation of financial reports and legal filings (e.g., HST, EHT, LawPro).
- Strong organizational skills with the ability to manage multiple priorities and meet strict deadlines.
- Exceptional attention to detail and analytical skills.
- Proven experience in staff training and mentoring, particularly in legal accounting software.
- Excellent communication and interpersonal skills for liaising with partners, lawyers, banks, and external stakeholders.
- Advanced proficiency in Microsoft Excel and other accounting tools.
- Ability to work both independently and collaboratively in a fast-paced legal environment.
