Salary: Up to $80K
Location: Southwest Ontario
Key Responsibilities
- First Point of Contact for new client/intake calls
- Conducting Conflict Search
- Creating entry on Master Civil Litigation BF list
- Scheduling appointments within lawyers’ calendars
- Preparing New Matter form for the file to be opened in the Firm’s Document Management System (DMS) and Matter Management System
- Digital and physical maintenance of client file
- Preparation of Retainer letters and collection of retainer funds
- Obtaining client’s ID and save copy to the Client Card when the file is opened
- Preparation of standard letters and template documents
- Create calendaring of important/limitation dates for each file
- Preparing documents using Adobe Acrobat for electronic filing with the Court
- Drafting Pleadings, including Applications, drafting Court documents such as Motions, Judgements, Affidavit of Documents, Writs, and Garnishments
- Liaison between client and lawyers, self-represented parties
- Dealing with Courts in various municipalities and regions
- Provide all clerk/administration support for assigned lawyer(s)
- Draft reporting letter and prepare accounts
- Preparing the file to be closed, including culling of digital and/or paper documents, returning originals to the Client.
- Responsible for diarizing 30 day no activity (or payment of account if required);
- Preparing file closing memo for lawyer signing along with General Ledger for the file to be closed in the Firm’s DMS and Matter Management System;
- Other duties as required.
Qualifications
- Legal Assistant or Law Clerk Diploma, or Paralegal Program
- 5+ years experience in a similar role with Civil Litigation
- Experience in Condo Litigation is an asset
- Excellent oral and written communication and interpersonal skills
- Ability to multi-task while remaining well organized
- Exceptional attention to detail and accurate work product is imperative
- Ability to use initiative and exercise judgement in identifying issues needing immediate attention
- Proficient with MS Office
- Knowledge of Adobe Acrobat Pro, Caselines/ Case Centre, JSO Portal, as well as a Document Management and Matter Management System
- Solid knowledge of the Rules of Civil Procedure, process of Small Claims Court, legal documentation and terminology
