Key Responsibilities
- Code vendor invoices and ensure they are accurate and proper approvals have been acquired
- Handle a variety of internal and external vendor inquiries and remedy any issues
- Upload vendor and credit card data through the Generic Importer into the accounting system
- Review and process firm expenses through an automated workflow; ensuring appropriate coding, tax calculations and payment preparation
- Prepare rush cheques and obtain authorizing signatures as required
- Process vendor set-up information into the accounting system
- Reconcile monthly general bank account, Teraview account and petty cash
- Act as back-up for trust; this includes making deposits, arranging for bank wires, cheques, and investments, and all associated trust administration
- Process trust and general firm deposits, including scanning cheques into banking system
- Use online banking platforms to initiate wire transfers for Trust transactions and ensuring documents have been prepared in compliance with firm policies
- Act as back-up to team members
- Other responsibilities as assigned by Supervisor
Qualifications
- 5 years direct experience in an Accounts Payable capacity
- Law firm experience and knowledge of the Law Society of Ontario by-laws relating to trust or Professional Services experience is an asset
- Proficient with accounting software as well as Microsoft Office Suite
- Experience using Aderant is an asset
- Strong attention to detail and strong organizational skills
- Ability to multi-task and work well under pressure in a high volume environment
- Demonstrates good judgement and professionalism
- Capacity to work independently and autonomously, as well as in a team environment
- Ability to handle conflicting and changing priorities in a positive manner
