Salary: Up to $48K

  • Post-secondary education in Office/Business Administration or commensurate program 
  • 2 years of recent relevant experience in a professional setting is preferred
  • Excellent attention to detail
  • Solid problem solving skills
  • Superior written and oral communication skills
  • Strong computer literacy and proficiency with Word, Excel, PowerPoint, Outlook, OnePlace, iManage
  • Able to work efficiently with minimal supervision
  • Self-motivated

Key Responsibilities 
  • Manage all aspects of the reception area and client floor
  • Assist with needs of those subleasing office space on the floor; ensure that subleased space is clean and professional in appearance
  • Answer and transfer calls to the appropriate people
  • Respond to client inquiries in a professional manner
  • Greet clients and act as a liaison between them and other members of the firm
  • Receive incoming and prepare outgoing deliveries; drop off late deliveries as needed
  • Book and organize boardrooms as requested and arrange for catering/room set-up as required
  • Suggest changes to methods, procedures, and work tools to improve efficiencies and client space
  • Keep the client floor neat and organized; follow up on out of place items
  • Stock boardrooms with supplies; keep kitchens continually stocked with drinks and dishes
  • Assist with various firm initiatives and tasks such as data managements, organizing guest lists, and event execution
  • Secure and set up laptops and projectors, as required
