Legal Executive Assistant – Corporate (3537) Full Time

Salary: Up to $60K

Primary Duties Include

  • Calendar management, including booking internal and external meetings, coordinating appointments and scheduling conference calls;
  • Assisting with preparation of meeting materials such as calendar invitations, minutes, agendas, notices and attendance records;
  • Email and document management, including organizing, labelling and archiving emails and documents in appropriate corporate files;
  • Preparing, “black-lining”, editing, formatting, printing, scanning and revising correspondence, memoranda, presentations, transaction documents, reports and other printed materials;
  • Proofreading documents and checking for appropriate formatting, spelling, grammar and clarity;
  • Arranging for the proper execution of agreements/documents in accordance with internal processes;
  • Organizing and ensuring the accuracy of invoices received from external consultants and legal counsel and submitting such invoices for approval by senior management; and
  • General administrative duties and ad hoc projects.

Required Experience/Skills/Qualifications

  • Minimum of 5 years’ experience in an administrative role in a law firm
  • Strong computer and internet skills with excellent knowledge of standard software such as Microsoft Outlook, Excel, Word, PowerPoint, Adobe Acrobat and Workshare Compare;
  • Ability to multi-task, prioritize and manage multiple deadlines in a fast paced environment in accordance with instructions;
  • High level of accuracy and strong attention to detail;
  • The ability to work professionally with people from various levels of the organization;
  • Impeccable interpersonal, presentation, written and verbal communication skills;
  • Adaptable and flexible individual who can work effectively as part of a team or individually;
  • Strong judgment and problem-solving skills; and
  • Demonstrated ability to work with sensitive and confidential information.
